Privacy Policy

This policy explains what personal data Cleavo (the Discord bot, the dashboard and this website) handles, why, and what you can do about it. Cleavo is run by Server Guy Solutions – FZCO (“we”), who is responsible for this data. Contact: contact@cleavo.xyz.

1. What we collect

When Cleavo is in a Discord server, it processes what it needs to run the features the server has set up:

• server, channel and role IDs and names;
• members’ Discord user IDs, usernames and avatars, and when they joined or got a role;
• messages, button choices and form answers inside Cleavo tickets and forms, and ticket transcripts.

Cleavo does not read messages outside its own tickets, forms and commands.

When you log in to the dashboard with Discord, we receive your Discord user ID, username, avatar and the list of servers you manage.

When a server connects Whop, we receive membership details Whop shares with us for that server: membership and plan, status (for example active, cancelled or expired), renewal and cancellation dates, reviews members leave on that Whop, and the Discord account linked to the membership.

When you visit this website, our server logs your IP address, browser and the pages requested, for security. These logs are kept for about two weeks.

2. Why we use it

• To provide the Service: open tickets, run forms, give and remove roles, send DMs, and run win-back and review flows.
• To let you log in to and use the dashboard.
• To keep the Service secure and fix problems.
• To meet legal obligations.

Our legal bases are performing our agreement with the server owners who use Cleavo, our legitimate interest in running and securing the Service, and legal obligations where they apply.

3. Server owners and their members

Each server decides how Cleavo is set up there: which questions are asked, which roles are given, and whether Whop is connected. If you’re a member of a server and want your data removed, ask that server’s staff, or contact us directly.

4. Who we share it with

We don’t sell personal data or use it for advertising. We only share it with services needed to run Cleavo:

• Hetzner Online GmbH, Germany: hosting. Our servers and database are in Germany (EU).
• Discord: Cleavo works through Discord’s platform.
• Whop: only for servers that connect it.

We may also disclose data if the law requires it.

5. How long we keep it

We keep a server’s data while Cleavo is in that server. When Cleavo is removed, or a server owner asks us, we delete that server’s data within 30 days. Ticket transcripts follow the retention the server has set, and are deleted with the rest of the server’s data.

6. Cookies

This website doesn’t use tracking or advertising cookies. The dashboard sets one cookie that keeps you logged in; it’s strictly necessary and expires when your session ends.

7. Your rights

Depending on where you live (including under the GDPR in the EU), you can ask to access, correct, delete or export your data, and to restrict or object to how we use it. Email us at contact@cleavo.xyz. You can also complain to your local data protection authority.

8. Children

Cleavo follows Discord’s minimum age. It isn’t meant for anyone younger than that, or younger than the age of digital consent where they live.

9. Changes

If we change this policy, we’ll update the date at the top. Significant changes will be announced in our Discord server.
